Questions related to what others generally see as a standard for Stewardship assignment on the IGC side.

We currently have Stewardship groups (Central Finance, Logistics, HR, etc) that are used as Stewards when these are assigned to our glossary terms. This approach was used initially as an alternative to assigning a specific individual/user as the steward for a particular term. Each group has a distribution list that sits behind it so that individuals can be communicated with in the event that someone has a question related to a term and wants to use the Feedback button within IGC. Another part of our initial implementation (which occurred several years back and before me) was the use of Mock Authentication, so that all of our users currently log in using a mock account. We don't currently have any of our stewards directly creating or editing terms in ICG.

My question for you is whether this approach, or one where each term is owned by an individual (and that individuals name is listed as the Steward) is the norm for a typical glossary implementation? My sense is that it was done that way here in an attempt to ease the burden of changing Stewardship for potentially thousands of terms as individuals come and go within the organization.

Would appreciate your perspective on generally what is seen as the best practice approach for Stewardship assignment within IGC.

At all of the implementations that I have done, it is only in a rare case that an individual has stewardship of a policy, rule, category or term. Rather there are groups of stewards for each area ...

On a recent project we set up every term steward as being a business unit steward group. There were about ten LDAP groups created as steward groups and people could be moved in and out of these groups.

In Stewardship Center we customised the workflows so that all business term review and approval tasks when to the LDAP group who was the steward of the business term. Members of that group could then log into the group inbox and claim tasks off the list.

I prefer the group based ownership approach because it caters for people going on leave or secondment or leaving the company without a lot of manipulation of Glossary records.
